Arrow ApplicantGuide; How to start 2012 match application!!

Start, if you haven't yet, gathering your unwaived LORs, MSPE, Med. sch transcript. Work on your personal statements (one for each specialty, and even if you want to personalize you can do one for each program). Get a professional photo of yours (digital or scan an already existing one).

June 22 buy your eras token from your oasis account.
July 1st register in eras and get your aamc from there.

Go back to oasis, upload your photo from your computer, then fill up the dsf form with the names of LOR writers and specialty as well as MSPE and med school T. and send them in one envelope to the address prnted on the dsf.

Start working on your eras CAF and application. Upload your PSs from your computer to eras.

After you say thank you for this post, start selecting the IMG friendly programs in eras in the specialties you are applying to in preparation for the big day SEPTEMBER 1ST.

Feel free to shoot any questions related to this process and keep posted with us in this forum for further instructions and directions from the moderators ;-)

Hi Applicant Guide,

May I know if you can apply to programs before September 1? as in start selecting programmes to apply for and paying money to ERAS?


is September 1 the day that programs start downloading applications or the day when u can start selecting programmes, pay money and assign ur LORs?

first of all thanks for this usefull post....now i have some questions:

1. you said 'Go back to oasis, upload your photo from your computer, then fill up the dsf form with the names of LOR writers and specialty as well as MSPE and med school T. and send them in one envelope to the address prnted on the dsf.'.....i will get 3 LOR'S all from US physicians(i am an IMG) but I decided not to see what they will write in the letter; i know i have to print that letter cover/sheat from my ERAS account but since i will get all 3 LOR'S and i will not see what they write, i have to give an individual prepaid envelope with the ECFMG adress to each one of the doctors; when you said to send them in 1 envelope, you meant ALL the LOR'S/papers or EACH LOR/paper(or if it's possible to somehow send less envelopes to ECFMG/ERAS by mixing some papers in different envelopes);

2. if anybody can give some ideeas about that professional photo....photo has to be done by a professional photographer, how big has to be(meaning megabites), how much has to be the resolution, etc

@leftose you can start selecting your programs once you register to eras but you can't click "submit app" until september 1st, on that day you will be able to make your payment. PDs will start downloading your app shortly after submission.

@anatomie

1-I meant the unwaived LORs (which you can see) together with other documents with one dsf only in one envelope.

Waived LORs should be sent from the writer office directly to ecfmg not by you, you can't get this LOR to your hand whatever. you might make it easy for them by giving them already paid envelope (although not necessary at all as all institutions have their mailing services set) together with separate cover letter and dsf.

2- it shouldn't be a sofisticated photo, any passport photo is ok if you are looking or dressing good. these are the specifications:
Photograph

Should you be selected for an interview by a program, the program will use your photograph to identify you at the interview and as a memory aid when creating a rank order list.
If you wish to submit a photograph, you must submit a digital photograph via ECFMG’s OASIS. Photographs mailed to ERAS Support Services at ECFMG for scanning will not be accepted.
Your photograph must:
  • Show a clear, front view of your full face only. Your face should be in the middle of the photograph, and your expression should be natural with your eyes open and looking directly ahead.
  • Be a color photograph with a light-colored background.
  • Be equivalent to wallet or passport size.
Guidelines for Submitting a Photograph

Before you attempt to submit a photograph, make sure that it conforms to the following specifications:
  • It must be in the Joint Photographic Experts Group (JPEG) format.
  • It must have a resolution of 300 pixels wide by 300 pixels high or 240 pixels wide by 320 pixels high, and a color depth of 24-bit color.
  • The source of the digital photograph should be either a digital camera or a print photograph scanned into a digital format.
  • If a print photograph is scanned, it must be scanned at a resolution of 150 dots per inch (dpi) and with a color depth of 24-bit color.
  • The maximum file size accepted will be 100,000 bytes (100 Kb).
Login to ECFMG’s OASIS and click on the link for ERAS Support Services. From the ERAS Support Services page, select “Upload Photograph.” Click the “Browse” button to select the photograph file from your computer, then click “Upload” to upload the photograph. You are not required to submit a DSF when you upload a digital photograph through OASIS.
You will receive confirmation of acceptance if the system uploads your digital photograph successfully.
If your photograph is rejected, you will need to resubmit it.
To make your photograph available to programs, you must assign it on the Programs tab of MyERAS.
Please allow one to two business days for the photograph to be uploaded to your ERAS application.
IMPORTANT NOTE: If you participated in the ERAS 2011 season and submitted a photograph, ERAS Support Services will reuse that photograph for ERAS 2012. If you wish to submit an updated photograph, follow the instructions above. If you resubmit your photograph, it will permanently replace the previous photograph.

I did all what u said, Now, i got an ECFMG token, i tried to apply to get AAMC ID and it says it will open on 1st of July 2011,

so do i have to wait till that time to get AAMC ID,

and i they say to visit a link and check for "For Residency Applicants"

i did tht .. but didn find tht link, does this mean that i have to wait till 1st of july to get ?

@Gamer you are right, ERAS will open on July 1st. Mean time start preparing your documents, photo ( I think you can upload it now in your oasis), personal statements and (in your computer, to upload them later to your eras).

Thank you very much for this helpful post.

I need alot of help and have many questions and problems facing me to ask concerning ERAS:


1- I waived my right to see the LoR, can I ask the LoR writer to send it to my medical school to be sumitted through the EMSWP and it wiil stell be considered as waived LoR?. And should the LoR writer send it as hard copy or email to my medical school? And if it should be a hard copy my medical school has to scan it and upload it through EMSWP or how? And do I have to attach cover sheet to the LoR which is send through the EMSWP?



2- I got my LoRs now, but I stell dont have the AAMC ID number and in the cover sheet it says to the LoR writer to write my full name and the AAMC ID number in the LoR ?!!


3- LoRs Submitted to ECFMG Electronically via the new service called the Letter Writer Portal (LWP) should be attached with a cover sheet ?


4- Can I get LoRs from a specialty doctor to another specialty programe, like from a pediatrician for IM programe director ?

5- Is there a big difference between waived and unwaived LoR?

unwaived LOR is those that you already have in your hand, ie you didn't waived your rights to see them.
waived means the LOR writer will not handle it to you, he have to send it directly to eras after you print for him the cover letter and dsf form.

@drmuh
1-EMSWP is a new thing to IMGs that I really have no clue about. Pleae contact ECFMG as soon as possible to reslove your questions.

2-you will get your aamc id after you register with eras on july 1st. if you have your LORs wiith you, then you might either add them on the top or forget about it, it is not obligatory as long as you are sending the dsf form in the same envelope.

3-you don't need dsf so you will not need cover letter as well.

4-yes you can, but make sure they don't recommend you to a specific specialty, ie general recommendation to residency.

5-many debates about it , but my own simple opinion based on experience in the last few years:
a-know what in your letter better than regretting later.
b-it will be faster to you to get it know and send it on july 1st, rather than wait for dsf and cover letter to send to lor writer who in turn had to write it and send it
c-no difference in the number of interviews in those with waived and non waived, Although waived migh be considered more professional

I have not yet graduated and i will receive my diploma within 2 weeks. I am done with step1, 2ck and given cs and waiting for the results. Can i still initiate the process at this stage?

Hi...i have a few question. I just graduated in dec 2010, ive cleared my CS and im taking the CK next wednesday. I haven't taken the Step 1 as of yet.

1- Can i still work on my application once i have cleared the CK or is the result of a Step exam a requirement?

2- Is it possible to still be eligible for the match if my Step 1 score comes out sometime in september or like mid october??

Thank you I'm really confused and stressed out because i want to get residency next year.

@Intmed yes you can and must initiate the process, get your eras token and gather your LORs and other documents.

@there is no deadline for submission of LORs, but the earlier you send them to eras the earlier they get uploaded. Upload time is usually 2-4 weeks so may sure you send them before the end of June otherwise you will risk that they might not be uploaded to apply with complete app on September 1st. However if you couldn't do that it is still ok to send thme later at anytime and PDs will be updated by eras and your app will take another look ;-) My advice is send whatever you have after July 1st then send the other stuf whenever available.

@amych
the result of the step is not a requirement, you can start working on your app., get your eras token and wait for july 1st to come.
the result is only required for the rank/nrmp match by mid februaury.

Make sure you Submit your application to the programs on September 1st whatever your score situation otherwise you may not get interviews.

Can you please explain what this means ..??..I found it in MyERAS page..

MYERAS ALERT:
Applicants will not be able to certify their applications until July 15, 2011 when July cycle programs have the ability to download applications. Please use this time to begin the application process, and fill out the information requested within the MyERAS application.
I am kinda worried because i just sent my MSPE and transcript yesterday ( JULY 6) to ECFMG / ERAS..

Are we supposed to send those after JULY 15 only ???

On my MyERAS homepage I have a message that kinda says "Applicants will not be able to certify their applications until July 15,2011 when programs have the ability to download applications. Please use this
time to begin the application process, and fill out the information requested
within the MyERAS application."
Now what is this supposed to mean.??

Programs start downloading our applications from July 15th? Isn't it supposed to be September 1?

Pls advise as it's kinda spooky!

I think u should mention that in education
Eg
march 2011 to June 2011. Xyz hospital USA or break it up into months/deptts

FEB 2010 to feb 2011. Your home med school
month 200_ to feb 2010 your med school

This is not for IMGs, it is only for osteopathic applicants. PDs will see your app only on Sept 1st when you apply.

Default Thanks applicant guide for d amazing post!!!

Ve a couple more doubts however,

1. by medical transcript, is it just the one that has the list of our marks the one we sent during our verification, or should v send our degree as well?
2. my medical transcript is printed on a paper that has my school emblem on the background. so it ok if i send a xerox of that? coz there was somthin mentioned in the ecfmg about the transcript not bein on a busy?? background??
3. should i get my transcript attested my the principal? or just a copy will do?
4. under what documents in dsf do the evaluation forms i got from a couple of univ in us during clerkships ?? or is there no use in sending them?
5. can i send the mspe in the sealed envelope my college gives it in, the transcript and a couple of lors from my college prof in the same courier at once?? coz my college doesnt really post the mspe so will it still count as bein sent from college?? coz it freakin 4000 rs per courier...

I know its a lot of questions!!! but really great if you could suggest what to do??

Hi Haritha
1-transcript is the paper that show your marks, you can send a copy (they don't need the original).
2-if the xerox copy is difficult to be read, then yes send the original.
3-copy will do, they already have the original.
4-no use in sending these evaluations as no place to upload them to, but you still can send your US LORs if you have from these rotations.
5-In the match there are no documents that SHOULD be sent directly from the college, you can send them all together in one envelope, except for waived LORs should be send by the writer.

Hi Guys,

1.Has anyone tried using LWP for uploading LORs? Does ECFMG now allows you to use this service?

2. Is it a good idea to apply to programs with pending Step 1 result or should I wait until it is reported? Will it make a huge difference if I can't apply to programs on Sept 1st?

HI there,
Thanks for the post!
I have some questions:
1- I have got the token,AAMDC ID.I still need to register at NRMP,right?
2- I can work on my application little by little,correct? By sep 1 I have to have everything organized to choose the programms,correct?
3- I will receive my cs results i believe inbetween aug beginning sept according to the dates provided.So, do people usually apply before having that?The ECFMG will automatically send my certification to the programms or do I have to ask them?

Hi ,

am going to sit for my CK Aug. 1st ,and I didn't start with the match process till now ,till when do I still have time to take the ERAS token and then do the application and upload my supporting papers ? I was thinking of doing all that after my CK test and will be finished with all the process by mid Aug.will that still be ok or too late? or should I start from now ? and I have another question plz ,I am an IMG and I live in USA so how could I obtain a deans letter ?

Default What should be written in Publication part

Thanking you guys for the help which you have been providing...just one more doubt regarding what we can write in the part of publication.

There is an option of oral presentation. Can we mention all the presentations that we have given till date( not necessarily case presentation) My presentations were never published and were given as a part of my clerkship in US and in India on topics related to the clerkship that I was doing.

I'm an IMG certified by my state board in india.. Should I mention that in the are for it in the second last option in Licensure Information and also in Medical Licenses.

Hi applicant guide, I have already given the usmle 1 and 2 ck and recently given cs and awaiting for the result. I have done my graduation in Internal Medicine(Endocrinology) this year from china.
1.Is there any increased chance for getting the interviews/residency for the post graduates students?
2.I haven't taken the token for ERAS/ECFMG .Do I have to get it as soon as possible and start uploading the documents or should I wait for the result?What are the documents that i should upload???
3. I donot have MSPE .When is the deadline for it's submission?
4.In order to apply the internal medicine ,do i need the recommendation letter for the internal medicine? Is the internal Medicine(endocrinology) recommendation ok?What about for family medine???
6. How do I get my ECFMG certificate? Do I have to apply for it?

I know that i have many questions .Thank you very much in advance.

1-yes increased chances for interviews, as I noticed last year many people with previous residencies/fellowships were getting higher interviews than expected relatively to their YOG and USCE.

2-get token ASAP because uploading takes 3-4 weeks, you need to apply to the match on september 1st whatever or postpone it to the next year. you need to send to eras (address on the dsf form that you will fill in your oasis account after you buy the token and register in MyERAS) original LORs (at least 3) original MSPE and COPY of your medical school transcript. you have to upload from your computer to oasis a photo and to your eras account the personal statement (s).

3-MSPE is not an issue for IMGs but it is needed just for your CAF to appear complete, you can send it any time but preferably before november 1st when it got released to the PDs. Many IMGs match without it especially applicants from china and iran where there medical schools sometimes don't give them it.

4-endocrinology LOR is excellent but make sure it is recommending you to residency not to fellowship, or it can be a LOR in general without specific recommendation. Also you may use any LOR for FM if it was not recommending you to a specific specialty.

5-if your creds are received and verified in oasis then you will get it automatically after you pass cs exam, you don't need the certificate to apply to residency but you need it later to join residency, you need to clear the steps required before end of january.

Thanks for your reply ,it was really helpful for me. Should the LOR signed with blue ink or black ink is also ok?

My husband is doing residency in Radiology in china and will be graduating next year. Can he apply for fellowship in US and work after that in US?? He has given step 1 and planning to give step 2 very soon. Can you please tell me what are the methods available for getting fellowship in US? I heard that radiology and orthopaedics are the only subjects that are board certified and fellowships can be applied by IMGS .Is it true???

Ink issue is controversial but last and this year ECFMG responded to many applicants that they are accepting black ink especially if it don't apply as a copy.

For radiology, he need to do 4 years fellowships in the same institution and then apply for the boards (please check abr website for details about IMGs) but it is risky as he may not get 4 fellowships in the same institution.

ur post is really helpful..i have my step 1 score and i am giving my cs on 10th august..will get the results in oct to nov..do u think its smart for my to get the eras token and if i decide not to apply for the match this year can i use the same token next year or do i have to get a new one and my mspe and personal statement n all will be saved or not?

How recent should be the LOR? Can I reuse the LOR while applying for the next year? Can I use the general LOR written by endocrinologist for applying psychiatry? Thanks a lot for your help.

next year you will have to buy a new one even if you didn't use this years token. this year either apply on sept 1st with whatever scores or postpone it to the next year. your mspe and LORs will be saved if you assigned them to at least one program and applied.

there are no deadline, but for your LORs to be uploaded by the time you submit your app on sept 1st you need to send them 3-4 weeks before that date.
There is no way to read the contenets of the LOR after upload but you can get them back to your hand if they were unwaived later thru the RODs service which will be available few months later.

how can one get a j1 visa before application?

1-your dcs should be in the ADTS section of eras.


2-i guess ecfmg sponsor j1 visas, contact them for more info.

3-you can't change the CAF after certifying but you can mention this upcoming experience in your caf and PS.

I am so disappointed to see that most of the residency programs I went through enroll only those candidates who are graduated in medical school within last 5 years. It has already been 7 years since I graduated from my medicall school but I just finished my post graduation in 2011. Does this count? Do you have any idea about this? Can I apply in these programs?

I am planning to mail the documents by the end of JULY .Should I have to upload my CV and PS at the same time or can I upload it till the frst week of August as I have heard that the documents uploaded electronically take 1-2 weeks for the processing.

Forget about these criteria especially if your post grad was 2011, I have many applicants graduated before 2000 matched in such programs but most of them either had apost grad or continued medical experience. Limiting you app will decrease your interviews. Apply widely to as much programs you can afford and in multiple specialties.

You may finish your CAF and PS anytime you want before Sept 1st as they are directly saved. They mean by 1-2 weeks are those documents electronically uploaded by medical schools.

Its not really a deadline, but it depends on how fast/slow they are uploading the documents which takes usually from 3-4 weeks, so to be safe it is better to send them by the end of july. You can't submit the app before Sept 1st so don't worry about this part.

i am an IMG applying for surgery this year.....


as it is said research the programs before applying....as an IMG i'll have to apply to 80+ programs....so do i need to send an e-mail to all the programs i m interested in?

If you are applying to 2013 match yes you may apply in september 2012, but I hope your diploma will be issued before the end of january 2013 to be able to join the NRMP match. You may contact them or ecfmg to see if you can still join the match without verifying your diploma.

you don't need to email them, as they will not answer any emails in these months as thousands of applicants are emailing them. Many applicants ruin their chances by opening eyes on their weak points. Apply widely as you said and you should be fine.

@Cocochanel
the LOR writer should sent it by mail (dsf + cover letter + LOR) to the address on the dsf.
He migh either address it as to: Dear program director or To whom it may concern. Don't worry about this part usually LOR writers have experience in writing letters.

Hi...
i got my dean's letter /mspe from my school office....haven't sent it yet

but the myERAS account has no slot to "finalize" a dean's letter...
and when i assign the documents ...would the dean's letter show up as an LOR or smthng else?

you don't need to finalize slot for MSPE it will be uploaded automatically. Later it will appear same way other docs appear in ADTS and in the programs pages where you can assign it.

@drmuh
some people would like to hide the usmle step 3 score (or other pending steps) if it came back low later during the match so they don't want it to go automatically when the result is back. It is a complicated process. Just select yes to be out of the headaches.

No it is not a requirement to have post grad number of years to start residency. Some states do require that the USMLE steps or year of grad be of certain limits but these are few and in general IMGs don't have problems in that. Usually the programs websites will indicate if there is any state requiremnts in their websites.

I will start externship on august 15th and I will get my LOR in a month. Should I send my home LORs now or wait for this US LOR and send them together. Please anyone

Hi, send your documents ASAP to avoid delaying your app as uploading usually take 3-4 weeks. Creat a slot for the US LOR and assign it to the programs and later when you get it and send it for upload it will be automatically updated in the PDWS.

So u mean to say in order to save we have to apply to at least 1 program ,in case if we didn't apply to any and plan to get back our LORS ,do we get it back? or they won't return it at all after submission ,as u know it's hard to get LORS from med school again and again , so I was worried about it.

I mean if you didn't apply to any program they will not be saved electronically to be reused next match without sending them again. But even if you didn't applied to any program you can still get them back thru RODS after January. So my advice to avoid sending them again next year, assign them to one or more program depending on their number and apply, so that they will be saved in ERAS computers to be reused next match.

my med - school declined to write down my class rank in my mspe...


i wanted to ask ....if i mention my academic achievements in the myERAS application and i don't have any supporting documents...like my mspe doesn't mention it .....how does it affect my application?

I didn't suggest applying to few programs to get interviews and match, it was only a suggestion to get your documents saved electronically for the next match.

ok ,but for saving if we apply in just few programs then won't we be repeat applicant ? repeat applicants mean more filtering next year ,that is what I have understood from reading all the posts in this forum.

You can mention it, but what is they asked you for a proof. If you have any document in your hand that can prove it then it is ok, but anyway even if you don't have a proof it is not an issue.

Repeat applicant DOESNOT mean more filtering next season. No one can know that you are a repeat applicant. Except your oasis which nobody have access to it except you and ecfmg/eras. There are no filters for repeat applicants!

I have two question about Lors
1. Can I use my Dean letter as a third Lor
2. After i finalize Lors in ERAS, should I send them by post to ERAS and what other documents should I send by post

1-No you can't use it as a third LOR if you are also sending it as Dean letter. Also you can't use it as LOR if its title is Dean letter or MSPE. Howver if you have no other options at ALL, then you would consider using it. But any way, getting a LOR is not that difficult, go to any private clinic near you or any doctor your family know and discuss with him your situation and he will agree to write you one.

2-Yes you should send them with copy of the medical school transcript and original Deans letter.

1. I am ECFMG certified. As part of my certification I had to get my university to send my transcript. Do I need to get my university to send it again now that I am applying?

2. Just to clarify: in the ERAS application all the applicants will say No to Board Certified, and for State Licences; right?

Hi

1-No, but you have to send a copy of your transcript along with the other documents you are sending.

2-that is correct.

Dear ApplicantGuide,

Thank you very much for all the help you have provided.
I had an important question. In the ERAS application when you want to add points it justs puts in a long paragraph. Even pressing enter does not solve the problem. Is there any way of having bulletpoints where each bullet appears on a separate line?

Default Urgent ...mspe and transcript...

URGENT:

my medical college had sent MSPE and TRANSCRIPT as part of verification which led to me getting my ECFMG certification..

do i hav to send a separate set of MSPE and TRANSCRIPT to ERAS documents..

if so i havent sent them so far..is this going to affect my application..

when shud i send them at the latest?

No, I don't think so, but you can increase the spaces between the different sentences.

Hi, yes you have to send them again to ERAS this time. Copy of the transcript and original MSPE. There is no time limit but the earlier the better (before the end of September for the transcript).

i took a couple of months off during internship for personal reasons and i had to finish it off. do i mention this in the question "was your medical education training extended/interrupted" in misc tab? pls reply.

If you got your medical diploma/degree before internship then don't mention it.

If your dean letter didn't mention it then don't mention it.

If your dean letter mention it then you have to mention it, if it was before the degree date.

1-yes you can mention it and put the expecting date to be done.
2-If it is a part of your degree, no. If it is done after your degree, mention it under residency tab.

i am a foreigner with B1 Visa for 3 yrs bur currently i am at home ,, in the application there is 2 options :
1) foreign national currently in the us with valid visa
2) foreign national residing out of the us

which one should i chose ??

you may choose number 2, don't worry about this section it have no much impact as long as you don't have GC or citizen.

why does it say USMLE transcript not uploaded in ERAS postoffice in individual programs in ADTS? but down in the same page in supporting documents it says it is in ERAS postoffice. IS THAT A PROBLEM?

It shouldn't be a problem, just select the option in the USMLE section of your eras, pay the fee, asign it and you are done.
